Privacy policy

This policy explains what Kode Garment Inc. (“Kode”, “we”) collects through kodegarment.com, why, and what you can ask us to do with it. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

We only collect what you choose to send us through the site’s forms, the checkout and the gang sheet builder:

• your name, email address, and if you add them, your phone number and website
• for an order: your company name, delivery address and what you order
• your message and the details of your quote: garments, quantities and sizes, logo placement, decoration method and the date you need the order
• any artwork files you attach
• the designs and gang sheets you build in the gang sheet builder
• a voice message, if you record one. The microphone is used only while you press record, and the recording stays in your browser until you send the form.

The site has no advertising or analytics tracking, and we do not build visitor profiles.

How we use it

We use your details to answer your question, prepare your quote, and handle any order that follows, including contacting you about it. We do not sell or rent your information, and we will not add you to a mailing list unless you ask us to.

How forms and orders are handled

When you send a form or place an order, the details and any files go into our order system, where our team handles your quote or order, and a copy is emailed to our office at info@kodegarment.com.

Card payments are processed by Stripe, our payment processor. Your card details go straight to Stripe in its secure payment form on the checkout page; Kode never sees or stores them.

Cookies and your browser

The site sets only these cookies, all of them needed for the site to work:

• kg_sid remembers that you passed the “I’m not a robot” check. It is set only when you use the check and ends when you close your browser.
• kg_lang remembers whether you read the site in English or French, for one year.
• kg_gb keeps you signed in to the gang sheet builder with your Kode account, for 30 days or until you sign out.
• kg_gbs is a one-time code used while you sign in to the gang sheet builder. It lasts ten minutes at most and is removed once you are signed in.

To keep spam and automated abuse out of the forms, we also keep short-lived records of recent attempts, keyed to a scrambled (hashed) form of your internet address, used only to limit repeated tries. They are not linked to your name.

Your cart, and the gang sheet you are working on, are kept in your own browser’s storage until you order or clear them. We do not use cookies or browser storage for anything else.

Other services the site relies on

• Web fonts. Pages load their typefaces from Google Fonts, so your browser sends your internet address to Google when a page loads. Google’s privacy policy is at policies.google.com/privacy.
• Payments. The checkout page loads Stripe’s payment form, so Stripe receives your card details and your internet address to process and protect the payment. Stripe’s privacy policy is at stripe.com/privacy.
• Hosting. Our website and email are run on servers operated by a hosting provider. Like any web server, they keep standard logs of requests (internet address, page, browser and time) for security and troubleshooting. These servers may be located outside Canada, so your information may be stored and processed under the laws of another country.

How long we keep it

We keep your enquiries, quotes and orders, in our order system and as emails, for as long as we need them to respond to you, supply and support your order, and meet our legal and accounting obligations. After that we delete them.

Artwork you upload for an order is kept for about two weeks if the order is not placed; artwork on a placed order is kept with that order. If you sign in to the gang sheet builder, the designs and sheets you save or order stay in your library until you delete them.

How we protect it

The site is served over an encrypted connection, the forms only accept submissions sent from this website, and access to our order system and inbox is limited to the people who handle quotes and orders.

Your choices

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. You can also withdraw your consent to further contact at any time. Email or call us and we will reply within 30 days.

If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

If we change how we handle personal information, we will update this page and the date at the top.
